Itinerary and corresponding total fixed fee with deposit and balance payments
We will agree on a final itinerary which will contain details on what is to be included in the total fixed price and what is to be excluded.
The fixed fee will be in GBP (EUR when the tour is going to Ireland) and is payable either in the original currency to HGT or in SEK at an exchange rate offered in HGT’s invoice.
The fixed amount is split into an initial deposit payment, which is to cover deposits that HGT has to make to its vendors, and a balance payment of the remaining amount.
Once we’ve agreed on an itinerary and its corresponding fixed price, a deposit amount per traveller will be required to confirm your trip. The final balance will then be due 90 days prior to your departure date, unless specifically due at a later date.
The possibiliy to pay in SEK is to simplify payment for Swedish customers who can easily “swish” the SEK amount to 123 044 1501, beneficiary KlubbVerkstan i Danderyd AB (the mother company of HGT).
The SEK/GBP exchange rate for the balance payment will be set by HGT at a current rate one month before the balance payment is due and will typically differ from the exchange rate of the deposit.
The fixed fee will normally include airport pick-up and drop off, accommodation fees for the number of people/nights agreed for the room types specified (standard/superior, twin or double beds etc). Also included are green fees, transportation during the stay to and from golf courses, dinners and activities. The fixed fee also normally includes full access to a HGT representative who drives the HGT vehicle and assists the group from morning until evening.
The fixed fee does not cover airfare or any testing costs related to the Covid-19 pandemic.
The fixed fee does not include meals and drinks unless it is specifically specified in the itinerary that food is included for a specific day or activity and does not cover cost to hire buggies, caddies or trolleys.
Cancellation policy
If you should have to cancel for one or more of the participants please notify troonswede@heritagegolftours.co.uk by email. It is recommended that a participant who has to cancel tries to find another participant to replace him/her to avoid cancellation costs.
The standard cancellation terms are:
- 6 months or more prior to departure – loss of deposit
- 3 – 6 months prior to departure – 40% of cost of trip
- 1 – 3 months prior to departure – 60% of cost of trip
- Within 1 month of departure – 100% of cost of trip
If prior to departure something unexpected or outside of the customers control prevents a customer from travelling, HGT will do its utmost to get the venues to refund as much as possible of the money related to the cancellation. If, after such refunds, the remaining actual direct external costs for HGT is lower than the above standard cancellation fees, then only the actual direct cost for HGT will be charged as cancellation fee, but with a minimum of 100 GBP per person.
Please note that HGT does not include any travel insurance and if you don’t want to carry the risk of losing money in case of cancellation it is much recommended to take out your own travel insurance.
Late changes to the itinerary
If late changes has to be made to your schedule, such as a planned course is closed or cannot be reached or a venue closing, then HGT will choose an appropriate alternative in discussion with a representative of your group. If this change leads to a substantially different cost from what the fixed price was based on, then the difference will be refunded if lower or charged to the participants if higher. If any part of your trip should be cancelled by HGT then a refund of the cost of this particular feature of your trip will constitute a full and final refund by HGT and no further compensation can be sought by you, the client.
Unforseen additional costs / disruptions during the tour
The fixed price covers the planned and foreseen costs listed in the itinerary. Unforeseen cost due to changes the group has to make, for example accommodation needed to stay overnight on Arran due to an unforeseen ferry cancellation, then this cost is to be shared between all participants involved.
Vehicle breakdown
If the group is delayed due to technical problems with the minibus or trailer, HGT has to find alternative means of transportation to the next planned destination (course, hotel, airport etc), such as taxi or public transportation. HGT also has to carry the cost for this and has to either find quick ways to repair the vehicle or to quickly hire an alternative vehicle to minimize disruption for the group. No compensation is to be sought for activities that are missed due to vehicle failure, such as no golf that day or only a shorter round, but refunds HGT manages to get under these circumstances (e g green fee refunds) shall be passed on to the participants.
If the HGT tour guide falls ill to such a degree that he can’t drive, HGT is to either hire another driver, or assign one voluntary participant to drive and to call the insurance company to have that driver installed as named driver for insurance purposes.
